Job description for Admin Executive position
Location: Work from Home, India
Office timings: Monday to Friday 6.30 pm IST – 2.30 am IST (Summertime) and 7.30 pm IST – 3.30 am IST (wintertime)
Summer time: March 8 – Nov 7 and winter time: Nov 8 to March 7
Joining date: Immediate opening
VXL Services Inc. is a leading CPA firm based in New Jersey, US, and is seeking a dynamic person to join its growing team of professionals. The candidate will work with and assist other team members in executing some of the day-to-day functions.
This position is a long-term one and will be an integral part of our team. So we are looking only for candidates who have a basic interest in this type of work and are comfortable working in the US time zone.
The job specification for this position is as follows. Pl, note this may be revised as required.
1. Downloading files from certain secure websites and saving them in appropriate folders
2. Sending email reminders to clients on specific days and on a need basis and following up with them via email and phone as may be required
3. Responsible for preparing and sending Invoices to clients as may be required and following up on payments as directed
4. Downloading bank statements and credit card statements from various websites and saving it in appropriate folders
5. Receiving and sending query files to clients and following up to ensure feedback is received in a timely manner
6. Sending payroll reports to clients via email on a regular basis
7. Insurance forms to be filled up and follow up with clients and insurance companies as may be required.
8. Calling up State and other authorities as may be required for specific tasks
9. Managing appointment schedules for various team members as may be required
10. Research various state websites for registration-related information
11. Reminding team members about various approaching deadlines on a weekly basis
12. Arrange virtual meetings with clients and staff members using Zoom and Google Meet as may be required.
Candidate should possess the following MANDATORY skill set.
1. Excellent in spoken and written English and should have done their education in English medium only.
2. Minimum 3 years experience in Admin function preferably working with overseas clients
3. Solid knowledge and experience in using MS Office – Outlook, Excel, and Word; Adobe Acrobat; Web Browsing, Zoom, Google Meet, Teams, Messenger
4. Should have a secure and reliable internet connection and quiet working environment and the ability to use their PC.
5. Excellent email and letter drafting skills as the majority of the work will involve communicating via email and over the phone.
Preference is given to the following type of candidates:
1. Candidates who have dealt with US clients and are aware of the US style of working and accent.
2. Call center candidates with good communication skills and the ability to handle Admin functions will be strongly preferred as they are used to working in the nighttime in India.
Candidate should have a bachelor’s degree (preferable)
The company will provide a phone that can be connected directly to the router/modem so that calls can be made to the US from India.
Please note this is not a “Flex time” position and the candidate will have to be available between 9 am – 5 pm US time Monday to Friday.
