PURPOSE OF THE ROLE

The Relationship Officer in Centres shall act as an interface with the outside world & create value in: Increasing Student Admissions, Communication and Coordination with Parents, Publicity and Public Relations work for the Centres.

KEY RESPONSIBILITIES OF THE ROLE

1. Will be responsible for the overall functioning of the Relationship Cell.He/She shall act as a single point of contact for the department.He/She shall act as a Team Lead for the Department.

2. S/he shall act as a Mentor and a Coach to the Relationship Executives and Front Office Executives reporting into him/her.

PRE ADMISSION PREPARATION

  • Knowledge of Strengths & USPs of the School, Overview of competitors, Curriculum details, Facilities of the School,Admission Policies.
  • Ensure Admission Kits are prepared as per guidelines and manitained in appropriate quantity at all times.
  • Ensure that all the relevant brochure/information is kept accessible for prompt distribution.
  • Curriculum Details along with Discovery Charts to be kept prepared & accessible at all times.
  • Responsible for all Promotional activities for student admission-within and outside School.
  • Tracking and maintaining records of : Competitor’s admissions Kits,fee structure,student strength,flyers,posters,marketing material and any relavant data.

INQUIRIES

  • Addressing, handling or re-directing queries with regards to admission, PSA, Kids Club, Tours, VIVA etc. appropriately and on time.
  • Informing the parents of fee structure & School timings.
  • Assisting parents in selection of Boards.
  • Fixing up interviews for parents (seeking admission for their children), who face difficulty in opting for boards (ICSE,CBSE & CIE), with the Coordinators
  • Making follow up calls for enquiries received through mails , telephone or walk-in.
  • Maintaining admission registration file.
  • Post registration , taking the parents on a School tour.
  • Coordinating with administrator, counsellor for interviews for the pre-primary admissions, arranging for the competency test for primary and secondary students and communicating the feedback on time.
  • In case of appointment cancellation, informing the Parent/Coordinator/Counsellor/Administrator/Principal and closing the loop.
  • Communicating the result of the Tests and Interview to all parents on time.
  • Assisting the parents in selection of all optional facilities (Bus, Canteen, PSA, Kids Club)
  • Handling the admissions which are located out of the city, coordinating with parents on phone regarding the admission forms and documents etc.
  • Acknowledge the Admission form and send it to the Principal for approval & co ordinate with fees dept. for collection of fees.

POST ADMISSION

  • Scrutinizing and Checking the admission forms post admission to ensure all documents are in place.
  • Calling up the parents in case of missing documents & ensuring all documents are in place.
  • Handling admission cancellation, transfers etc.
  • Informing the respective Coordinator regarding the new admission.
  • Co-ordinate with parents for Coffee Meet including sending invites to Parents for the Meet. Anchoring the Coffee Meet for Non academic topics.
  • Post joining providing the students with the ID cards & ensuring parents of Pre Primary students get bearer cards.
  • Post Joining introducing ,escorting and handing over the child to the specific Coordinator.
  • Updating forms & allotting house divisions.

LC APPLICATION PROCESS

  • Verification of the LC application forms submitted by the parent and the acknowledgment copy to be returned to the Parent/Guardian.
  • Coordination with various departments for generation of LC.
  • Entering in ERP system with remark ‘Sent to Authority’.

QUERY AND GRIEVANCE REDRESSAL PROCESS

  • Resolving all academic and non academic queries and grievances of parents.
  • Escalating all unresolved grievances to the respective departments.
  • Ensuring resolution and closure of all grievances.
  • Maintaining an updated record of all the grievances handled.

MISCELLENEOUS ACTIVITIES

  • Responsible for creating and maintaining monthly Roster, Shift Working, Weekly Offs, Compensatory Offs for the Relationship Cell.
  • Actively participate in Annual Festival of VIBGYOR.
  • Maintaining a complaint register for Uniforms & Canteen.
  • Fixing up appointments for Principal, Coordinators, teachers etc.
  • Issuing Bonafide & School Leaving Certificates.
  • Arranging for the attestation of Mark sheets.
  • Assisting in School promotion related activities and competitions within the School premises.
  • Coordinate/Promote: Summer Camps, Day Care, PSA ACTIVITY.

MIS RELATED

  • Maintaining the MIS report on daily basis and communicating to the Principal, Zonal Office and Central Office.
  • Making necessary entry at each step on ERP and updating the same as per the Process guidelines mentioned in the ERP Manual.

  • Performance Ratio (Enquiries to Admissions)

  • Quality of participation in organizing VIVA, Coffee Meet and other School events.

INTERNAL

Nature or purpose of Interaction

  • Students- To act as one stop for all queries related to events in the School.
  • Accounts- To coordinate with all the admission fee related queries, reports and resolution.
  • HR – To coordinate for admission of employee’s children and seek approvals and address queries.
  • Principal- To coordinate for approvals, meetings and updates and any related activities and events.
  • Coordinator- To receive and provide updates in reference to child admission, parent queries, events and coordinate for meetings with parents for admissions.
  • Zonal Marketing Team- To coordinate with the Zonal Marketing for promotional activities and any other relevant activity at the School.
  • Administrator- To coordinate for arrangements for Events to be conducted for admissions.

EXTERNAL

Nature or purpose of Interaction

Corporates/Societies/Play Groups and any other personnel involved for conducting events in or out of the Centre. – To approach various entities and act as a representative of the School for promotional activities for branding and admission purposes.

Parents- To act as one stop for admission and any other needs of the parents.

ROLE REQUIREMENTS

  • Education Qualification – Should be a graduate/Post Graduate in any field preferably in Business Administration or Marketing
  • Experience- Minimum experience of 5 years required, atleast two years of relevant experience preferred. Candidates from the Teaching Background/Education Industry preferred.
  • Marketing experience preferred. Experience on ERP software preferred.
  • Age- 25 years – 35 years
  • Gender- Either gender preferred.

Salary: ₹25,000.00 – ₹35,000.00 per month
