OPENINGS FOR ASSISTANT REGISTRAR
Position Summary: The Assistant Registrar is a critical administrative position within the Office of the Registrar at our esteemed university. The Assistant Registrar will support the Registrar in overseeing various administrative and academic functions of the University. This role requires strong organizational skills, attention to detail, and the ability to clearly understand and interpret regulations/policies etc issued by the Government organizations and Regulatory bodies, and thereafter implement the same in the university. The Assistant Registrar will collaborate with different departments of the university and assist in maintaining the integrity of administrative and academic processes of the University.
Responsibilities:
1. Policy Compliance:
-Stay up-to-date with regulations, policies and directives on Higher Education issued by the Ministry/ Department of Higher Education, UGC, AICTE, BCI etc
-Assist in the implementation of policies and procedures to ensure compliance with promulgated guidelines.
-Closely monitor the implementation of all statutory/ non statutory requirements/ policies and ensure timely feedback to govt agencies on their compliance.
2. Collaborative Relationships:
-Collaborate with various departments, such as Admissions, Academic Affairs, Student Welfare etc to ensure seamless coordination of student services.
-Work closely with academic departments to provide support and facilitate effective communication regarding University procedures for students and staff.
3. Issue notices/circulars/minutes of regulatory meetings
–Ensure timely conduct of meetings of statutory bodies and other meetings as may be required for the smooth functioning of the University.
-Prepare and issue minutes of the meetings/circulars/notices
4. Events and Hospitality
-Oversee University level events like Convocation, Fee and Scholarship distribution functions, Academic Advisory Meetings, Momentum etc. in terms of discipline, hospitality supervision and overall smooth conduct of the events.
5. Correspondence with UGC/DHE and other govt agencies
–Point of contact for all communication with the above agencies on behalf of the University and maintain follow-up action, as deemed necessary.
-Assist the Registrar in handling legal cases of the University
6.Discipline and decorum
-Maintain discipline and decorum in the university.
-Ensure compliance to administrative policies of the university by all students and staff.
7.Maintenance and Logistics
-Coordinate with the Estate Manager, Security officer and Housekeeping for all administrative and logistics requirements of these depts towards ensuring their smooth and interrupted functioning.
Qualifications:
• A bachelor’s degree in higher education administration, student affairs, or a related field. A master’s degree is preferred.
• Minimum of 10 years of experience in an administrative role within a university registrar’s office or a similar academic administrative setting.
• Strong organizational and time management skills, with the ability to handle multiple tasks and prioritize effectively.
• Excellent interpersonal and communication skills, with the ability to communicate clearly and effectively with diverse stakeholders.
• Detail-oriented mindset with a focus on accuracy and data integrity.
• Ability to work collaboratively within a team and build relationships across different departments.
• Commitment to maintaining confidentiality and protecting student records and information.
• A sound understanding of academic policies, procedures, and regulations governing higher education in India would be an added advantage.
