About the Role:
We are seeking a passionate and organized Operations Manager to join our team and play a key role in the smooth running of our academy. You will be responsible for overseeing all daily operations, ensuring a positive learning environment for our students, and supporting our instructors in delivering high-quality training. Key Responsibilities:

Day-to-day operations:

• Manage daily schedules for instructors, students, and administrative staff.
• Oversee the cleanliness and maintenance of the academy facilities and equipment.
• Manage inventory of training supplies and equipment.
• Ensure completion of the defined curriculum to meet schedule, cost, quality & timeline.
• Coordinate logistics for events, workshops, and guest speakers as needed.

Student Experience:

• Manage student enrolment process and maintain accurate records.
• Address student inquiries and concerns promptly and efficiently.
• Monitor student progress and provide support as needed.
• Manage student progress and attendance records.
• Organize and manage student assessments, examinations and relevant events.
• Maintain positive communication with students and their families as well as instructors and administration.

Staff Management:

• Provide support and guidance to instructors and administrative staff.
• Develop and implement training programs for new staff members.
• Conduct performance reviews and provide feedback.
• Foster a positive and collaborative work environment.

Administration:

• Prepare and manage budgets for operational expenses.
• Develop and implement policies and procedures.
• Track and report on key performance indicators (KPIs).
• Stay informed about industry trends and best practices.
• To manage the database related to students, alumni, suppliers & vendors

Marketing and Outreach:

• Assist with marketing and promotional activities to attract new students.
• Develop and maintain relationships with industry partners.
• Manage the academy’s online presence and social media platforms.

Reporting and Analytics:

• Generate reports on key operational metrics (e.g., student enrolment, course completion rates, staff performance).
• Analyse data to identify trends and opportunities for improvement.
• Present findings and recommendations to management.

Key Result Areas (KRAs):

• Maintain high student satisfaction and retention rates.
• Achieve operational efficiency and cost-effectiveness.
• Implement and maintain a safe and positive learning environment.
• Ensure compliance with all relevant regulations.
• Contribute to the growth and development of the academy.

Skills Required:

• Proven experience in admission counselling and managing a centre preferably in the education or beauty industry.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Ability to multi-task and work independently.
• Proficient in Microsoft Office Suite and other relevant software.
• A passion for the beauty industry and a commitment to providing exceptional service.
• Attention to detail and accuracy.
• Problem-solving and critical thinking skills.

Experience:

• Minimum of 2 to 3 years of experience in a similar role.
• Experience working in a fast-paced environment.
• Experience with staff management and development.
