Job Summary: We are seeking a friendly, organized, and efficient Receptionist to be the welcoming face of our company. The Receptionist will be responsible for managing the front desk, greeting visitors, handling incoming calls, and providing administrative support to various departments. The ideal candidate will have excellent communication skills, a professional demeanor, and the ability to multitask in a fast-paced environment.
Key Responsibilities
- Greet and welcome visitors with a positive, helpful attitude.
- Answer and direct phone calls to the appropriate person or department.
- Manage the reception area, ensuring it is tidy and presentable at all times.
- Receive, sort, and distribute daily mail and deliveries.
- Schedule and coordinate meetings and appointments.
- Assist with administrative tasks such as data entry, filing, and document preparation.
- Maintain office security by following safety procedures and controlling access via the reception desk.
- Provide basic and accurate information in-person and via phone/email.
- Perform other clerical receptionist duties such as photocopying, transcribing, and faxing.
- Support HR and administrative departments with various projects and tasks as needed.
Qualifications
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Proven work experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Hands-on experience with office equipment (e.g., fax machines and printers).
- Professional attitude and appearance.
- Strong written and verbal communication skills.
- Excellent organizational skills and attention to detail.
- Ability to be resourceful and proactive when issues arise.
- Multitasking and time-management skills, with the ability to prioritize tasks.
