About the role
Monitoring & Managing the Administration for Regional Office (RO) & Site Offices in and around Mumbai. Looking after Staffing and vendor management, Procurement, Budgeting, Facility Management, IT Infra, Travel Management, Stay etc.
Key Responsibilities
1.Managing Regional Office (RO) & Site Infra and facility management
Maintenance (Rent, CAM, AMCs, Electricals, Plumbing, Carpentry, DG, Air-conditioning, Parking, PEST control etc.)
Co-ordinate with Central IT team for Communications support (Mobile, Landlines, Printers, Internet, Lease-line, Hardware & Software (Renewals, Payments))
F&B (Pantry, Conference Rooms, Meetings, Events, Occasions, Festivities, Snacks, Lunches, Dinners)
Stationery (Printed, Pre-printed, Office Stationery)
2. Staffing and vendor management for House Keeping, Pantry, Security, Office Boys, Valets staff at RO and sites
3. Travel & Stay for RO & Site Staff (Road, Air, Station Pick & Drop, Hotel, Guest House)
4. Non-Manpower Overheads management: Budgeting, monitoring and initiatives for reduction
5. ADMIN support for Events (Town-hall, Festivities, Celebrations, Outbound, Society Meetings, Clubhouse Meetings)
6. Equipment & Asset Management at RO and Sites
7. Procurement of materials (Stationery, Pantry, Fire & Safety, HK, Assets etc.)
8. Billing of RO & Site Admin Expenses
9. Site Structure Office Facilitation – Co-ordinating with PDs, Design Team, Stakeholders for inputs and follow ups.
10. Vendor Empanelment & Management
11. Launch Support – Manpower (Housekeeping, Pantry Boys, Security, Bouncers, Office Boy, Valets), F&B, Travel, Stay, IT support, Stationery, etc.
Who are we looking for?
Education:
Any Bachelor’s degree
Experience:
8+ years (Overall experience) in Administration & Facility Management, Handled multiple Large sites. Someone who has handled high volumes. Multiple stakeholder management
Skills:
Technologies – Nothing specific
Software’s – MS Office must have (Proficiency in Excel is desired)
