Responsibilities as Front Desk Executive
- Serves visitors by greeting, welcoming, and directing them appropriately.
- Operates a multiline system to answer calls.
- Greet walk-in clients and make sure they are comfortable while they wait for their scheduled appointment.
- Notifies company personnel of visitor arrival.
- Maintain telecommunication system.
- Inform visitors by answering or referring to inquiries.
- Keeps clean and safe reception area by compiling with procedures, rules, and department directories.
- Manage the day-to-day operational and administrative activities.
- Maintain inventory of office and amp; cafeteria supplies and stock registers.
- Maintain call log registers and maintain vendor management data.
- Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.
- Supports continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Monitoring of Housekeeping activities
- Arrangement of all consumables and supplies for Client / VIP visits
- Assist in the administration and coordination of company events.
- Maintain Event tracker and a copy of meeting schedules of all departments and make adjustments, cancel or swipe meeting rooms or reschedule meeting setups, calendars as per requests and priorities complex scheduling and logistics.
- Check and ensure the availability of first aid medicines.
- Attendance management. Facilities Management / Vendor Management / Overseeing Cafeteria.
- Interfacing with the pest control for carrying out the pest control activities at the facility.
- Communicate to the FM all incidents’ issues and pending problems.
- Monitoring the Food Vendors at the site.
- Distribution of correspondence, ID, and access cards.
- Managing the petty cash and keeping track of it.
- Create and follow up on corrective purchase orders as necessary. Processing of vendor Invoices
- Manage workflow by assigning tasks to the supervisor and facility team daily adhere to deadlines and amp; complete correctly.
Responsibilities as EA to the CEO
- Calendar Management to the CEO
- Act as liaison and provide support to the Board of Directors.
- Complete a broad variety of administrative tasks that facilitate the CEO’s ability to effectively lead the organization.
- Serve as the primary point of contact for internal and external constituencies on all matters pertaining to the CEO.
- Work closely with the CEO to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Work as a gatekeeper and gateway role thereby providing a bridge for smooth communication between the CEO and the staff.
- Work with the executive team to coordinate the CEO’s outreach activities.
- Other duties as assigned by the CEO.
Qualification/ Experience:
- Minimum 3+ years of experience in a similar role.
- Strong ability to execute work with a diversity, equity, and inclusion lens.
- Significant executive support experience, including supporting C-level executives experience is highly preferred.
- Expert proficiency with Microsoft Office and PPT.
- Exceptional organizational skills and impeccable attention to detail.
- A high degree of professionalism in dealing with diverse groups of people, including Board members, senior executives, staff, community leaders, donors, and funded partners.
- Make appropriate, informed decisions regarding priorities and available time.
- Ability to complete a high volume of tasks and projects with little or no guidance.
- Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
- Able to maintain a high level of integrity and discretion in handling confidential information. Excellent judgment is essential.
