Responsibilities
- Greet and welcome visitors, students, and staff to the university with a friendly and professional demeanor.
- Answer and direct incoming calls efficiently, ensuring accurate communication of messages to the appropriate recipients.
- Address inquiries related to the university’s programs, campus facilities, events, and general information, providing accurate and up-to-date information.
- Assist with the registration process for new students, ensuring all required documents and information are obtained accurately.
- Coordinate appointments and meetings by managing calendars and scheduling rooms, ensuring all logistics are organized.
- Manage the distribution of incoming and outgoing mail and ensure its timely delivery to the respective departments.
- Maintain a presentable reception area, ensuring it is clean, well-organized, and adequately stocked with relevant materials.
- Manage and coordinate the issuance of visitor badges, ensuring all necessary security protocols are followed.
- Provide administrative support to various departments as requested, including typing, data entry, and filing.
- Collaborate with other staff members to ensure effective communication and coordination across departments.
Requirements
- A minimum of a Bachelor’s degree in any discipline is required.
- Proven experience as a Receptionist or in a similar customer service role is preferred.
- Excellent verbal and written communication skills, with fluency in English and Hindi languages.
- Polite, professional, and friendly demeanor with exceptional customer service skills.
- Strong organizational and multitasking abilities, with the ability to prioritize tasks effectively.
- Proficiency in MS Office Suite, including Word, Excel, and Outlook.
- Strong interpersonal skills, with the ability to work effectively with individuals at all levels.
- Ability to handle confidential and sensitive information with utmost discretion.
- Familiarity with office equipment, such as copiers, printers, and telephone systems.
- Knowledge of university programs, courses, and campus facilities will be an added advantage
