About the Office of Student Affairs (OSA): Student Affairs at Ashoka University drives student experience
outside the classroom and aims to offer a well-rounded university life for all students. Led by the Dean, the Office
cultivates and promotes student learning and development, with a strong commitment towards diversity,
inclusion and mutual respect; physical and mental wellbeing; cultural enrichment and creating opportunities for
empowerment. OSA comprises three verticals, namely the Student Life Office, the Residence Life Office, and
the Sports & Exercise Office. Each of these branches occupies and crafts intellectually stimulating spaces in
their own right.
Position Overview: The OSD to Dean is an integral member of the Office of Student Affairs at Ashoka
University. This individual’s responsibilities are primarily administrative and require great discretion,
resourcefulness, flexibility and integrity as they will be working closely with a diverse range of people within and
outside of the organization. The role offers an unparalleled opportunity for someone with an interest in higher
education to grow as an academic administrator.
Responsibilities:
- Monitor and track communications and tasks, ensuring attention to time-sensitive issues and long-term
initiatives while also providing succinct background information when needed

- Maintain accurate and updated records of all correspondences by the Dean’s Office
- Handle confidential information pertaining to various arms and functions of the Dean’s Office
- Manage the schedule of the Dean while prioritising critical appointments and events by liaising with
other Programme Managers based on Dean’s availability
- Prepare thorough briefings and relevant documents to help the Dean prepare for upcoming meetings
and also ensure that meeting deadlines are communicated as well as attained
- Communicate and follow-up with both internal and external stakeholders to ensure coordination and
collaboration among all involved on behalf of the Dean
- Support the programming and policy-making efforts of Student Affairs across all arms of the Office to
create a positive campus environment for all students
- End to end planning and execution of the annual Merit Awards; finalization of nomination forms,
updating the scoring rubric, constituting review panel and the shortlisting awardees
- Ensure weekly staff meetings of the entire OSA to communicate upcoming events, discuss student
concerns, and facilitate inter-departmental engagement
- Facilitate one-on-one meetings for all members of OSA with the Dean for their mentorship, professional
development, performance review, and feedback
- Be familiar with institutional guidelines for emergencies and respond as needed

Required Competencies:
- Excellent communication skills, both verbal and written, with attention to detail
- Ability to juggle multiple priorities and meet deadlines with varying degrees of pressure
- Team player with the ability to work, liaison and collaborate with diverse stakeholders
- Professional, organized, and courteous conduct, both internally and externally
- Administrative skills such as archiving, budgeting and organisation
- Possess significant awareness of the handling of sensitive information (contracts, intellectual property,
agreements, financial, and personnel data) while maintaining its confidentiality
- Willingness to provide on-call coverage at short notice for crisis management
