Job Description Assistant Administrator Responsibilities An Assistant Administrator, is in charge of carrying out day-to-day organizational tasks effectively with proper planning and facilitating efficient communication across an entire office or specific department. Asst. Administrator has to manage facilities, office calendars, update databases and complete general clerical work and recordkeeping. Following are the range of specific duties and responsibilities of the Asst. Administrator which will include, but will not be limited to the following:
- Asst. Administrator will be reporting to Head of Administration and Principal.
- Strategic management of Security, safety & admin functions like Rectification/Defect Management & Maintenance of various equipment’s in the building and ensure that all the resources are optimally utilized.
- Man Management, training and development, Manage the school’s contractor staff and organizing training programmes based on the operational requirement. Identifying the training needs and facilitating in organizing the same.
- Responsible for Facility Management which includes House Keeping, Transportation, Utilities, Repairs & Maintenance, Infrastructure facilities etc.
- Ensuring facilities management, including utility operation and maintenance, for all classrooms, offices and workstations in the school.
- Standardize the AMC of all Office Equipments, Labor Contract Agreements, Service Agreements of Housekeeping, Uitility, Facilities, Cafeteria, & Transportation.
- Organizing & conducting Annual Medical Examination of all students, Managing Isolation Centre and other medical room related work.
- Designing, monitoring, reviewing of support systems procedures and policies. Ensuring the conformance to SOP’S.
- Organize internal audits after doing the GAP Analysis for the improvement of functioning of the facilities.
- Managing the school’s administration budget premises. Planning, budgeting and resource deployment. Ensure timely processing, certification and clearance of all bills.
- Manage the school’s contracts with external providers of services, equipment and manpower and also implementing Service Level Agreements.
- Managing School’s transport fleet including route planning, staff and handling any grievances related to transport related services. Trip Coordination for the class trips, foreign students participating in the activities at the School.
- Planning and organizing various school functions like sports day, Exhibitions, Annual Day etc. and also field trips & picnics.
- Coordination and Liaison with Government Agencies, Statutory Authorities & Conformance of all Statutory Compliance & Liaison with Govt. and local authorities and officials. (NMMC/Police/ FRRO).
- Playing strategic role in the various measures being adopted for the safety of the students.
- Such other duties as may be assigned by the Head of Administration and principal within the terms of employment
