Key Educational Qualification:
- Graduate
- Experience: 2 to 3 years experience
Level Specific Accountabilities:
- Manage & champion end to end activities of / for the reception area.
- Attend calls, respond to mails, take messages, and redirect calls to appropriate department Greeting visitors, clients and candidates and guiding them to respective departments and making necessary arrangements Provide administrative support to departments and be single point of contact for all associate queries.
- Addressing queries of associates / visitors including complete analysis and request tracking of complaints.
- Maintain & update MIS like associate database, invoices, expenses, vendor list, etc. and maintain files and folders.
- Facilitating onboarding & induction for external as well as internal associates.
- Making necessary travel & stay arrangement for group company visits & necessary coordination.
- Coordinate & manage conference rooms booking for meetings & block calendars.
- Overseeing the housekeeping, security and parking of the premises.
- To achieve maximum associate/customer satisfaction and getting the associate survey & feedback forms filled.
- Highlights re-occurring or outstanding actions/ escalations.
- Allows for the benchmarking of facility and contractor performance.
- Allows Admin Team to concentrate on value addition and service delivery.
- Coordinating all end-to-end events for administrative activities.
- Actively participate in engagement activities, meetings, and facilitate administrative activities.
- Facilitating birthday celebrations of associates and managing administrative activities for associates.
- Vendor Management – establishing relationship with vendors and maintain records.
- Manage, record & track all incoming & outgoing invoices, couriers, envelopes, packages, etc.
Mandatory Requirement: Fluent communication in English & using basic MS excel
