As the first point of contact for parents, students, and visitors, the Front Office Executive plays a crucial role in creating a positive and welcoming environment. The primary responsibility of this role is to efficiently manage the front desk operations, handle inquiries, provide administrative support, and ensure smooth day-to-day functioning of the school’s front office.
Responsibilities:
- Reception and Greeting:
- Welcome parents, students, staff, and visitors with a warm and friendly demeanor.
- Answer telephone calls promptly and professionally, directing calls to the appropriate personnel or department.
- Inquiry Handling:
- Address inquiries from parents and visitors regarding school programs, admission procedures, fees, and other relevant information.
- Provide accurate and up-to-date information to promote a positive image of the school.
- Student Attendance Management:
- Maintain accurate records of student attendance and communicate attendance-related matters to parents and teachers.
- Monitor and follow the school’s attendance policy diligently.
- Administrative Support:
- Assist in various administrative tasks, including filing, data entry, photocopying, and document management.
- Support the administrative team with tasks as assigned.
- Coordination:
- Coordinate appointments and meetings for school staff and management as required.
- Ensure meeting rooms and facilities are well-prepared for scheduled meetings.
- Visitor Management:
- Register and track the entry and exit of visitors and maintain visitor logs.
- Enforce security procedures to ensure the safety of students and staff.
- Mail and Courier Handling:
- Receive and distribute incoming mail and packages promptly.
- Prepare outgoing mail and courier shipments as needed.
- Supplies Management:
- Monitor and maintain office supplies, ensuring availability for daily operations.
- Coordinate with the procurement team for restocking supplies as required.
- Admissions Support:
- Assist the admissions team in handling inquiries, guiding prospective parents through the admissions process, and maintaining admission-related records.
Requirements:
- Proven experience in front office operations, customer service, or a similar role.
- Excellent communication and interpersonal skills with a friendly and approachable demeanor.
- Proficient in using basic office software (e.g., Microsoft Office Suite).
- Strong organizational and multitasking abilities to manage various tasks efficiently.
- Problem-solving skills to handle inquiries and requests effectively.
- Attention to detail and a high level of accuracy in data entry and record-keeping.
