Purpose / Job Description of Admission Counsellor and Admin Incharge

Purpose of Role – As a Preschool Admission Counselor, your primary responsibility is to guide and support prospective parents and students through the admission process, ensuring a smooth and positive experience. You will serve as the first point of contact for families interested in enrolling their children in the preschool, providing information, answering questions, and offering guidance on the admission requirements and procedures. You will work closely with the admissions team, preschool staff, and parents to facilitate the enrollment process and ensure that all necessary documentation is collected and processed accurately and promptly. Additionally, you will be responsible for promoting the preschool to prospective families, conducting tours, organizing admissions events, and maintaining relationships with community partners.

Qualifications and experience

● Bachelor’s degree in education, counseling, or a related field.
● Previous experience in preschool admissions, education, or a related field preferred.
● Excellent communication and interpersonal skills, with the ability to build rapport with parents and students.
● Strong organizational and multitasking abilities to manage a high volume of admissions inquiries and applications.
● Knowledge of preschool admission requirements, procedures, and regulations.
● Ability to work independently and as part of a team, with a high level of professionalism and confidentiality.
● Familiarity with preschool curriculum, developmental milestones, and early childhood education principles.
● Proficient in using computer applications, databases, and other technology tools for data management and communication purposes

Job Duties and Responsibilities:

● Provide excellent customer service to prospective parents and students, answering inquiries via phone, email, and in-person visits.

● Conduct admissions interviews and assessments to evaluate prospective students’ readiness for preschool.

● Explain and clarify admission requirements, procedures, tuition fees, and other relevant information to parents.

● Collect, review, and process admission applications and required documents, ensuring accuracy and completeness.

● Maintain an up-to-date and organized database of prospective students, including their contact information, application status, and admission decisions.

● Plan and organize admissions events, such as open houses, campus tours, and orientation sessions for prospective parents and students.

● Collaborate with preschool staff, including teachers and administrators, to ensure a smooth transition for admitted students.

● Develop and maintain relationships with feeder schools, community partners, and other stakeholders to promote the preschool and increase enrollment.

● Stay updated on industry trends, best practices, and regulatory requirements related to preschool admissions

Handling administrative tasks: This includes managing records and files, preparing reports, managing the center’s billing and financial records, and managing the center’s inventory and supplies.
Their responsibilities may include:

● Maintaining accurate records of children and staff
● Managing accounts payable and receivable
● Managing personnel files and coordinating staff schedules
● Helping center head / School Principal in morning meetings / Afternoon meetings and follow-ups with teachers to complete the planned calendar for the day.

Handling communication: Admin Incharge and Front Desk Incharge is often the first point of contact for parents and visitors, so they are responsible for answering phone calls, responding to emails, and greeting parents and visitors. The Front Desk Incharge is responsible for the reception functions of the daycare or preschool. They greet visitors, answer phones, and manage communications. Their responsibilities may include:

● Greeting parents and visitors and providing information about the center
● Answering and directing phone calls and emails
● Managing the sign-in and sign-out process for children
● Managing the center’s schedule and appointments
● Coordinating with staff to manage the flow of children and parents in and out of the center
● Managing the center’s communication tools such as newsletters, social media, and other marketing efforts.

Job Types: Full-time, Regular / Permanent

Salary: ₹18,000.00 – ₹25,000.00 per month
